Personal data is therefore handled and secured with the utmost care, in accordance with the legal provisions of the GDPR and privacy legislation.

This privacy statement applies to all websites of the Forum Jobs HR Group.

Definitions:

Privacy Statement: the present privacy statement of Forum Jobs NV.
Controller: Forum Jobs NV, with its registered office at 8800 Roeselare, Kwadestraat 149 a 3.1.
Personal Data: any information by which a data subject can be directly or indirectly identified and/or is identifiable.
Candidate: the natural person who has registered with Forum Jobs NV in order to be assisted in finding (other) employment, assignments, or positions (whether or not employed by Forum Jobs NV).
Data Subject: the natural person who provides one or more of their personal data to Forum Jobs NV. This person may be a (potential) employee (for a permanent position, temporary employment, outplacement, temporary worker, project sourcing employee, freelancer) of Forum Jobs NV, as well as a (potential) candidate or participant in training provided by Forum Jobs NV, or the natural person who works for a client of Forum Jobs NV through the mediation of Forum Jobs NV.
Employee: the natural person employed by Forum Jobs NV and assigned to one or more clients of Forum Jobs NV.
Participant: the natural person participating in training organised (in whole or in part) by Forum Jobs NV.
Training: a meeting, training course, workshop, seminar, theme day and/or course organised by or on behalf of Forum Jobs NV.
Client: the natural person or legal entity that assigns a task to Forum Jobs NV or enters into an agreement with Forum Jobs NV in the field of recruitment, employment services, staffing and/or project execution (whether or not through third parties).
Processor: companies and/or persons engaged by Forum Jobs NV to perform certain tasks.
Profile: the profile of the data subject containing information concerning their education, work experience and all other data relevant to recruitment, employment services and/or project execution.
Website: the website(s) operated by Forum Jobs NV, including www.forumjobs.be and any portals available on those websites.
Portal: a secured section or personal account on the website(s) of Forum Jobs NV that can only be accessed using a username and password assigned by Forum Jobs NV.
CBPL: Commission for the Protection of Privacy, the national supervisory authority responsible for monitoring compliance with Belgian laws governing the use of personal data.

Scope of Application

This privacy policy applies to the registration and processing of all personal data provided to Forum Jobs NV by the data subject in any manner whatsoever. This may occur through, among others, (online) registration forms, job fairs, (online) applications, the chatbot, etc. This also includes notes taken during job interviews. All such data are handled with the utmost care and used solely for the purposes described below. The applicable legislation on the protection of personal data is fully observed.
In order for Forum Jobs NV to carry out its activities, the data subject provides the necessary personal data.

Purposes of Processing

Forum Jobs NV processes personal data for the following purposes:
1. The data subject is registered and their file is managed by Forum Jobs NV.
2. The data subject gains access to the services, portal and website of Forum Jobs NV.
3. The data subject and Forum Jobs NV establish a candidate/employee-employer relationship.
4. This relationship includes:
5. 1. guidance throughout the employment process;
  2. assessment by Forum Jobs NV of the suitability of the data subject for a particular assignment or position;
  3. completion of (online) assessments by the data subject;
  4. the search for and placement in temporary and permanent assignments with clients;
  5. informing and presenting the data subject to clients and/or business relations of Forum Jobs NV;
  6. training courses undertaken by the data subject within the framework of the employment process;
  7. employing the data subject or arranging the provision of services and projects for clients of Forum Jobs NV;
  8. informing the data subject of matters considered relevant by Forum Jobs NV, including new job vacancies;
  9. maintaining personnel, financial and payroll administration as required for this relationship.
6. Personal data are transferred by Forum Jobs NV to processors appointed to perform specific tasks.
7. Forum Jobs NV analyses the labour market and its own database, including data relating to the data subject.
8. Personal data are used and disclosed to clients, business partners, subcontractors and government authorities within the context of recruitment procedures and/or employment relationships.
By registering or having themselves registered, the data subject grants Forum Jobs NV the right to use the data provided during registration for the stated purposes. When applying for a specific vacancy, the data subject also consents to being contacted by Forum Jobs NV regarding similar vacancies.
Forum Jobs NV uses the data subject’s information to inform them by email, SMS or any other electronic communication method about similar products and services offered by Forum Jobs NV.
The data subject may unsubscribe at any time by sending an email to privacy@forumjobs.be requesting that their data no longer be used for this purpose.

Disclosure of Data

Forum Jobs NV may provide personal data to third parties where:
1. such disclosure is included in this Privacy Statement;
2. Forum Jobs NV is authorised or required to do so by law and/or regulation, or receives a request from a governmental authority or regulatory body;
3. it is necessary for Forum Jobs NV to protect its rights and/or property, prevent criminal activity and/or safeguard national security or the safety of its candidates and employees;
4. it is necessary to verify the completeness and accuracy of the personal data provided.
Where personal data are provided to a Processor, whether directly or indirectly by Forum Jobs NV, that Processor will only have access to the personal data strictly necessary to perform the tasks assigned by Forum Jobs NV.
Forum Jobs NV prohibits Processors engaged by it from disclosing personal data to third parties or using such data for any purpose other than that for which they were obtained.
Forum Jobs NV has implemented the necessary measures to ensure that all transferred personal data are adequately protected.
Forum Jobs NV may also transfer your data to its partners for direct marketing purposes.
In rare circumstances, Forum Jobs NV may be required to disclose your personal data pursuant to a court order or in order to comply with other mandatory legal obligations. Forum Jobs NV will, where reasonably possible, inform you in advance unless prohibited by law.

Security

Employees of Forum Jobs NV who have access to personal data on behalf of Forum Jobs NV are bound by confidentiality obligations.
Forum Jobs NV makes every effort to implement appropriate organisational and technical measures to safeguard personal data against unlawful processing and/or loss.
Should third parties nevertheless succeed in circumventing these measures and/or misuse the personal data of the data subject, Forum Jobs NV shall not be held liable in any way.
Forum Jobs NV accepts no liability for any damage resulting from the use of personal data by third parties to whom such data have been disclosed pursuant to this Privacy Statement or with the consent of the data subject.
Forum Jobs NV is likewise not responsible for compliance by such third parties with applicable laws and regulations, including privacy legislation.

Liability

Forum Jobs NV shall under no circumstances be liable for indirect damages.
Any liability shall be limited to a maximum amount of EUR 2,500 per event and EUR 5,000 per calendar year per data subject, and in any case limited to the amount paid out under its insurance policy in the relevant case.

File Management, Right of Access and Amendments to the Privacy Statement

Questions or comments regarding this Privacy Statement may be sent by email to privacy@forumjobs.be or by post to the registered office.
The data subject may request access to their file and request the amendment, correction or deletion of their data by email to privacy@forumjobs.be or by letter.
Forum Jobs NV reserves a response period of up to four weeks following receipt of the request.
Forum Jobs NV reserves the right to amend this Privacy Statement at any time. The most recent version is available on its website.
Should any provision of this Privacy Statement be wholly or partially null, voidable or contrary to law, that provision shall be deemed severable and inapplicable.
In such a case, Forum Jobs NV shall replace the provision concerned with a valid provision of similar intent. The remaining provisions shall remain fully effective.
This Privacy Statement is governed by Belgian law. The courts of Kortrijk shall have jurisdiction over any disputes arising from it.
